Refund & Cancellation Policy

This policy forms part of our Terms of Service. Please read it before purchasing — by placing an order or making a payment, you agree to these terms.

Summary

AER Digital services are non-refundable. Setup fees, management fees, deposits, and the current billing period are not refunded once work has begun or the billing period has started.

You can cancel any month-to-month service at any time. Cancelling stops future charges — it does not refund charges already made. There are no long-term contracts and no cancellation penalties.

To avoid being charged for your next cycle, submit your cancellation in writing before your next renewal date. We cannot reverse a charge that has already processed.

Refunds by Service

Our policy is applied service by service, reflecting the point at which work has been performed or costs incurred on your behalf.

GBP Setup / Optimization No Refund One-time service. Once profile work has begun, the service is considered rendered — including where Google delays or denies verification.
GBP Management (Monthly) No Refund Current billing period is non-refundable. Cancel before your next billing date.
Local Service Ads — Setup Fee No Refund Non-refundable once the onboarding and Google verification process has begun.
Local Service Ads — Management No Refund Current billing period is non-refundable. Cancel before your next billing date.
Website Design — Deposit No Refund Deposits cover discovery, planning, and initial design work performed before the balance is due.
Website Design — Final Payment No Refund Non-refundable once the completed website has been delivered and approved for launch.
Website Hosting (Monthly) No Refund Current billing period is non-refundable. Cancel before your next billing date.
CRM Platform (Monthly) No Refund Current billing period is non-refundable. You may cancel at any time to prevent future charges.
Annual Subscriptions No Refund Not eligible for prorated refunds. Access continues through the end of the paid service year.
Account Release Fee No Refund Covers the administrative and technical work of de-provisioning a workspace. Non-refundable once the release process has begun.

Why Services Are Non-Refundable

We want you to understand the reasoning rather than just the rule.

  • Work starts immediately. When you book, we allocate strategist and technician time and begin the setup process. That labor is spent whether or not the campaign continues.
  • Third-party costs are incurred on your behalf. Directory subscriptions, creative production, and platform fees are paid out at the start of a service period and are not recoverable by us.
  • Outcomes depend on platforms we do not control. Google and Meta decide verification, approval, and placement. We are paid for the professional work of setting up and managing your presence, not for a guaranteed result.

If a campaign is underperforming, call us before you cancel. In most cases we can adjust targeting, creative, or budget — and we would rather fix the campaign than lose you as a client.

How to Cancel
  • Submit it in writing. Email us or use our contact form. Verbal cancellations are not accepted — all cancellations must be confirmed in writing so there is a clear record for both of us.
  • Timing. Submit your request before your next renewal date to stop the upcoming charge. We recommend at least 10 days' notice to allow processing time.
  • Confirmation. We will confirm your cancellation in writing. If you do not receive confirmation within two business days, call us — do not assume the cancellation went through.
  • Website projects in progress may be cancelled at any time. The deposit is non-refundable and work completed to that point may be invoiced at our standard hourly rate.

What Happens After You Cancel
  • Access continues through the end of the period you have already paid for.
  • Your data is yours. You have 30 days to export your contact and conversation records. We will provide a complete export in standard CSV format on request, at no charge. After 30 days, data may be purged.
  • Your website requires an active hosting subscription to stay online. If you cancel other services but want to keep the site live, you can continue on hosting only. Without an active subscription, the site is taken offline after 30 days and may be deleted.
  • Your platform workspace is licensed to you while your account is active — cancellation ends that license and does not transfer the workspace to you. Release requests are handled at our discretion under Section 9.4 of our Terms of Service.
  • Transfers require a current account. We will not process a request to transfer or release a website or workspace while any invoice is unpaid, any monthly obligation is outstanding, or a chargeback is open. Settling the balance returns the request to consideration. Your business data remains available for export regardless.
  • Ad accounts that we manage on your behalf can be unlinked from our management account on request.

Billing Errors & Disputes

Mistakes happen. If you believe a charge was made in error — a duplicate charge, a charge after cancellation, or an amount that does not match your agreement — contact us within 7 days of the charge and we will review it in good faith and correct any genuine error promptly.

Please call us before filing a chargeback with your bank. Most disputes are resolved in a single phone call. If a chargeback is filed on a service that has been rendered, we reserve the right to suspend all services, withhold any discretionary release of your workspace, and recover the disputed amount plus processing fees.

Ad Spend

Advertising budgets are separate from our management fees. Where ad spend is billed directly to you by Google, Meta, or another platform, refunds for that spend are governed by that platform's own policies, not ours — we can help you raise a request but cannot issue a refund on their behalf.

Where you have prepaid ad spend to us and a campaign is cancelled before that budget is deployed, any unused portion may be credited toward other services at our discretion.

Changes to This Policy

We may update this Refund & Cancellation Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page.

Material changes. Where a change materially affects your refund rights, cancellation terms, or fees, we will notify active clients by email at the address on your account at least 30 days before the change takes effect.

Your right to decline. If you do not agree to a change, you may cancel your services before it takes effect, in accordance with Section 4 above, and the change will not apply to you.

Purchases are governed by the policy in effect at the time. A revised policy applies only to purchases, renewals, and billing periods beginning on or after its effective date. It does not change the refund terms of a purchase you already made, which remain governed by the policy in effect on the date of that purchase.
